1. Agreement and scope
These Terms & Conditions ("Terms") govern your use of the DentNav website, candidate accounts, consultations, webinars, digital materials, courses, workshops, simulated clinical training and other services offered by DENTNAV PRIVATE LIMITED ("DentNav", "we", "us").
By creating an account, purchasing a service, ticking an agreement box or using a paid service, you agree to these Terms and to any service-specific description and consent shown for your booking. If a service-specific term conflicts with these Terms, the more specific term applies to that service only, except where law requires otherwise. You must be at least 18 years old, or have a parent or legal guardian contract on your behalf.
2. Nature of DentNav services
DentNav offers education, mentorship and experience-based guidance to internationally trained dentists and dental students exploring pathways in the United States, United Kingdom, Canada, Australia and New Zealand. Services may include pathway orientation, school and residency application guidance, mock interviews, CV/statement-of-purpose support, examination and licensure pathway education, webinars, and hands-on simulation training at DentNav Academy in Hyderabad.
DentNav is not a university, dental licensing board, examination authority, admissions committee, government agency, recruitment agency, law firm or immigration representative. Mentors share educational information and their own professional experience; they do not make decisions on behalf of any institution or regulator.
3. No legal, immigration or regulated professional advice
DentNav does not provide immigration legal advice, legal representation, visa filing or guaranteed immigration strategy. General discussion of publicly available visa categories, rules and timelines is educational only and is not an individual assessment of your legal eligibility. Please consult a qualified, appropriately authorised immigration lawyer or regulated professional about your circumstances.
DentNav does not make official admissions or licensure decisions, provide patient-specific clinical advice, or authorise anyone to practise dentistry in any jurisdiction. Regulatory requirements can change without notice; verify all requirements and deadlines with the relevant official body before acting.
4. No guarantee of outcomes
DentNav does not promise or guarantee admission, interviews, examination passes, credential evaluation, registration, licensure, employment, sponsorship, visas, immigration status, scholarships or earnings. Results depend on your qualifications, preparation and documents, on decisions made by others, and on changing institutional rules. Examples, testimonials and mentor success stories are illustrations, not promises of typical results.
5. Accounts, booking and candidate information
Please provide accurate contact and booking information and keep your login details secure. DentNav generally does not need a passport-matching legal name, government ID number, passport scan or immigration documents to create an account or start mentorship; you may use a preferred name. If a specific service or the law requires limited identity or supporting information, we will explain the purpose and a secure way to submit it before collecting it.
You are responsible for the accuracy, authenticity and lawful use of the materials you provide. Never share passwords to university, examination, government or payment accounts with us. We may ask you to redact sensitive identifiers from documents.
6. Service descriptions and scheduling
The service page or written confirmation states the current scope, format, mentor, price, duration, deliverables and any revision limits. Services and prices may change for future bookings; confirmed bookings keep their agreed terms unless a lawful change is agreed. Mentors may be substituted with notice where reasonably necessary.
Please join on time with a working connection and appropriate preparation. Requests to reschedule should be made at least 24 hours before the appointment. Late arrivals, no-shows and missed workshops are handled under the booking policy shown at checkout. DentNav may reschedule because of staff illness, technical outages or circumstances outside its reasonable control, and will offer a reasonable replacement or applicable refund if it cannot deliver the service you purchased.
7. Fees, payments, cancellations and refunds
Prices, taxes, currency, payment processing fees and the applicable cancellation rules are shown before payment. Payments are processed by authorised payment providers such as Razorpay; DentNav does not collect or store your full card details.
Unless applicable law requires otherwise, confirmed consultation bookings and services already started are non-refundable where this was clearly shown before payment. For courses, workshops, multi-session packages, unused sessions, cancellations before a service starts, and document work, any non-refundable amount is shown clearly at checkout. Nothing here limits your mandatory refund, chargeback or consumer rights.
If DentNav cancels a service and cannot offer an acceptable alternative, you will receive a refund for the undelivered portion as required by law. Duplicate charges and demonstrable payment errors will be reviewed and corrected. For a billing concern, write to support@dentnav.com within 2 business days with your booking details.
8. CV, SOP, applications and academic integrity
CV, SOP and application support consists of coaching, structure, language editing and feedback based on truthful information you provide. You must review and approve your final submissions, follow each institution's rules on authorship, AI use and disclosure, and submit your own applications unless a separately authorised process is permitted. DentNav will not fabricate credentials, research, experience, recommendations or supporting records.
Turnaround times and revision limits apply only where stated on the service page or written confirmation. DentNav does not guarantee that any school will accept any document.
9. Academy training and participant safety
Academy sessions may involve simulation units, dental instruments, materials, demonstrations and supervised practical exercises. Participants must follow faculty instructions, hygiene and safety rules, equipment policies and lawful scope-of-practice limits. Training does not give a clinical qualification or the authority to treat patients.
DentNav may pause a participant's involvement where their conduct creates a safety risk.
10. Intellectual property and permitted use
DentNav's original course materials, pathways, scripts, handouts, templates, recordings, videos, graphics, training methods, site design and branding remain the property of DentNav or its licensors. You receive a limited, personal, non-exclusive, non-transferable licence to access purchased materials for your own education.
Without written permission, you may not copy, screenshot or screen-record for distribution, reproduce, republish, translate for distribution, resell, upload to public groups, scrape, remove attribution or copyright notices, alter or misrepresent content, use the materials to train a competing service, or share paid logins or course access. Fair dealing, quotation and other statutory exceptions are not affected.
Your CVs, statements, records and other personal content remain yours. DentNav receives only the limited permission needed to provide the service you request and does not acquire ownership of your documents.
11. Confidentiality, session recordings, AI notetaking and testimonials
Confidentiality of consultations
Personal information, academic background, career goals and other details you share in consultations are handled under our Privacy Policy and applicable data protection law. DentNav staff treat your submissions and consultation details as confidential. Please respect the privacy of mentors and other participants, especially in group sessions.
Session recordings and AI-assisted notetaking
DentNav may record virtual consultations and mentorship sessions, including with AI-assisted notetaking and transcription tools, to:
- keep accurate records of discussions between mentors and candidates;
- prepare personalised summaries, recommendations and follow-up action plans;
- keep mentorship consistent and continuous; and
- review consultation quality and improve the candidate experience.
You will be told before recording begins, and we will obtain any consent the law requires.
Camera use
You do not have to keep your camera on unless video is reasonably necessary for the service, such as a mock interview or clinical skills assessment. Turning your camera off does not necessarily stop the recording of audio, shared screens or transcripts; we will tell you about these practices before the session.
Access, storage and use of recordings
Recordings, transcripts and AI-generated summaries are used only for the disclosed service purposes and are never made public without authorisation. Access is limited to authorised DentNav staff, your mentors and contracted technology providers bound by confidentiality and data protection obligations. Recordings are kept only as long as reasonably necessary, as set out in our Privacy Policy.
Testimonials and promotional content
We may invite you to share testimonials, feedback, success stories, photos or recorded experiences. We will obtain your separate, explicit consent before publicly sharing any identifiable information, photo, video, testimonial or excerpt from a private consultation. Taking part is entirely voluntary and saying no never affects your services. You may withdraw promotional consent for future use at any time; we will consider reasonable requests to remove material already published.
Unauthorised recording and distribution
Neither party may record a session without advance notice and any legally required consent. You may not record, reproduce, distribute, publish or commercially use private sessions, recordings, educational materials or discussions involving DentNav mentors or other participants without prior written permission from DentNav and, where applicable, the people involved. Misuse may lead to suspension or termination of services and appropriate legal action, subject to applicable law.
12. Acceptable conduct and suspension
Harassment, discrimination, threats, abusive behaviour, fraud, impersonation, forged documents, unauthorised redistribution of materials, unlawful use of the platform or unsafe conduct may result in suspension or termination after a proportionate review. Any refund depends on the service delivered, applicable law and the circumstances. If you believe a decision was made in error, contact support@dentnav.com.
13. Third-party websites and changing information
Links to universities, examination bodies, regulators, payment processors and other sites are provided for convenience. DentNav does not control their policies or decisions. Always check official eligibility, fees, dates and legal requirements directly with those organisations.
14. Disclaimers and liability
Services are delivered with reasonable care and skill, subject to applicable law. DentNav does not warrant that third-party requirements or outcomes will stay the same or that the website will always be available without interruption. To the maximum extent permitted by law, DentNav is not responsible for indirect or consequential losses arising from admissions, regulatory or immigration decisions made by others.
Nothing in these Terms excludes liability for fraud, wilful misconduct, personal injury where exclusion is unlawful, statutory consumer remedies, or any other liability that cannot lawfully be limited.
15. Complaints and changes
Questions, complaints, privacy concerns and billing disputes can be sent to support@dentnav.com, and we will respond within a reasonable time.
We may revise these Terms for the future and will post the updated effective date on this page. Material changes affecting an existing paid booking will be notified where required and will not remove rights you have already gained.
