1. Who we are and scope
This Privacy Policy explains how DENTNAV PRIVATE LIMITED ("DentNav", "we", "us") collects, uses, stores, shares and protects personal information through its website, account registration, bookings, consultations, Academy, webinars, enquiries and communications.
Data fiduciary: DentNav Private Limited, 4th Floor, Plot No. HIG 96, Sy. No. 20, VGR Square, Mayuri Nagar, Miyapur, Serilingampally, Hyderabad, Rangareddy District, Telangana 500049, India.
2. Information we collect
Account and contact details: preferred name, email address, phone number, country, login/account identifier and communication preferences.
Booking and service details: chosen service, appointment date, mentor, payment status, attendance and customer-support correspondence.
Information you choose to provide: educational history, professional background, career interests, examination preparation, draft CV/SOP, application goals and other materials needed for a service you request. We encourage you to redact sensitive information that mentorship does not need.
Technical data: device and browser details, basic site usage, security logs and cookie preferences. Payment processors may collect payment credentials and transaction identifiers under their own policies; DentNav ordinarily receives only the transaction confirmation and limited billing data.
3. Passport and identification data minimisation
DentNav does not ordinarily ask for a passport-matching full legal name, passport copy, government-issued identity card, national identification number, immigration status evidence or other identification documents just to create an account or book standard mentorship. You may use a preferred name.
If identity or sensitive documents become genuinely necessary for a particular service, legal compliance or dispute resolution, we will explain why, ask only for the minimum necessary fields, provide a secure submission channel, restrict access and keep them only as long as necessary. Please do not send passports, IDs, medical records, banking details or passwords unless we explicitly request them through an approved secure channel.
4. Why we use information
To register accounts; respond to enquiries; schedule and deliver consultations and courses; provide document feedback you request; process payments and refunds; send booking reminders and service notices; maintain safety and security; prevent misuse; comply with legal obligations; and improve service quality using appropriately limited information.
Where required by law, we rely on your valid consent or another applicable lawful basis. Information you share for mentorship will not be reused for unrelated advertising without the necessary notice and consent.
5. Marketing email and your choices
DentNav may offer educational newsletters, webinars, programme announcements, Academy updates and promotional emails. Creating an account is not a blanket agreement to marketing; where required, you opt in through a separate, optional, unticked checkbox.
Every promotional email identifies DentNav and includes a working unsubscribe link. Opting out does not stop necessary transactional messages such as receipts, booking confirmations, account security notices or service updates. You can change your preferences through the unsubscribe link or by emailing support@dentnav.com.
6. Confidentiality and disclosures
DentNav does not sell, rent or disclose your documents, personal history or consultation information to third parties for their own marketing. We will not publicly share identifiable candidate stories, photos, outcomes or testimonials without your separate permission.
Limited information may be processed by vetted service providers that perform necessary functions such as website hosting, booking, video calls, email delivery, payment processing, analytics, cloud storage and IT security, under appropriate contractual safeguards. Authorised mentors and staff access only what their role needs. Information may also be disclosed on your instruction, to comply with law, to protect rights and safety, or in a lawful business transfer subject to safeguards.
7. International transfers
Candidates and mentors may be located in different countries. Where information is accessed or stored outside your country, DentNav follows applicable cross-border transfer requirements, uses reasonable contractual and technical protections, and identifies relevant destinations or categories of providers where legally required.
8. Security and document handling
We use role-based access, multi-factor authentication for staff accounts where available, encrypted connections, access logging, secure document-sharing channels, staff confidentiality commitments, retention limits and a documented incident-response process. No internet service can guarantee absolute security.
Please never share account passwords, payment PINs, one-time passcodes or unnecessary identity documents with us. Report suspected misuse or a security incident to support@dentnav.com.
9. Retention and deletion
We keep personal information only as long as reasonably necessary for the purpose it was collected for, to provide services, meet legal and regulatory obligations, resolve disputes and maintain security and business records.
Retention periods
Subject to applicable law and any earlier deletion request, we intend to apply these periods:

Deletion requests
You may request deletion of your personal information by writing to support@dentnav.com. We will process requests in line with applicable law. Information no longer needed is securely deleted or anonymised, unless we must keep it for legal, regulatory, accounting, security or dispute-resolution reasons.
Secure disposal and exceptions
We use reasonable technical and organisational measures to securely delete, anonymise or dispose of information when its retention period ends, including with our service providers. We may keep specific information longer where required by law, lawful government requests or ongoing legal proceedings; such information is restricted and never used for unrelated marketing. Backups are removed on a documented cycle, with access restricted in the meantime.
10. Your rights
Depending on applicable law, you may request access to, correction, updating or deletion of your personal information; withdraw consent; opt out of marketing; ask about how your information is processed and disclosed; or submit a grievance. Rights and exceptions vary by jurisdiction.
Send requests to support@dentnav.com. We may need to reasonably verify your identity before releasing or deleting records. Withdrawing consent does not affect processing already lawfully completed or records we must keep by law.
11. Cookies and analytics
Essential cookies support sign-in, bookings, site security and preferences. Any non-essential analytics, advertising or tracking cookies are disclosed in our cookie notice and controlled through a consent or preferences tool where required.
12. Children and third-party links
Our services are intended for adult dental students and professionals. Where minors are permitted, we obtain any legally required parent or guardian authorisation and apply appropriate protections. Our website may link to schools, regulators and other providers whose privacy practices DentNav does not control.
13. Updates and contact
We may update this policy as our services, technology or legal obligations change. We will post the updated effective date on this page and give additional notice where required. Questions, requests and grievances can be sent to support@dentnav.com.
